What HubSpot's native duplicate management actually does
HubSpot's Manage Duplicates tool (Contacts & Companies โ Actions โ Manage duplicates) surfaces pairs of records with identical email addresses or phone numbers and lets you review and merge them one at a time, or accept/reject its suggestions in bulk. It's free on every plan and it's not broken โ the two records it flags almost always really are the same person.
The gap is what it doesn't flag:
- "Jon Smith" and "John Smith" with two different email addresses
- A typo'd email address (
jhon@vs.john@) - Two companies on the same domain that were created through different integrations
- Anything caught only after you've already imported a messy CSV

Where it's the wrong fit: if you need to deduplicate across systems beyond HubSpot (Salesforce, Intercom, a data warehouse), or you want deep field-level matching rules configured per property, that's further outside what a lightweight, HubSpot-native tool is trying to be.
Insycle
The broadest tool on this list. Insycle isn't just a dedupe app โ it's a standalone data operations platform that connects to HubSpot alongside eight-plus other CRM and marketing tools, and duplicate matching is configurable against any field, not just name/email/domain. It also handles formatting cleanup, backups, and workflow-triggered merging on a schedule. Pricing scales with total CRM record count rather than a flat platform fee, which can work out cheaper or pricier than record-based competitors depending on how large your database already is.
So which one should you actually use?
If you're a small team on HubSpot and you just want fuzzy/phonetic matches caught without leaving your CRM or paying anything until you outgrow 1,000 contacts, that's exactly the case DataClean is built for. If you're deduplicating across more than one system, or you want matching configured field-by-field with more enterprise-grade controls, Insycle is worth the extra setup. If your team already lives inside HubSpot workflows, Koalify slots in naturally.
